How to respond to Tenders

Your tender response is your first, and often your only opportunity to make a positive impression on your potential client. Therefore, there are a few easy things you can do to ensure that your response is not disqualified in the first stages.

  • Read the whole tender document carefully so that you understand exactly what is expected of you.
  • Answer all the questions properly.  Failure to answer a question properly or fully can result in your exclusion from the selection process.
  •  Explain exactly how you meet all the requirements laid out in the tender document. This is especially important, as it may not be clear to a reader until you explain it.
  • If there are special tender forms you need to fill in, get them from the relevant department in good time, so that you can meet the deadline.
  • Ensure that your response is in the correct format, on the correct form.
  • Package your tender response well:
    • Read through your whole response carefully. Do a spelling and grammar check. If possible, get a friend or colleague to proof-read the response for you as well.
    • Format the document and number pages.
    • Either bind your response or insert it into a neat folder.  You can buy these in bulk for a reduced cost at bulk stationers.
